Answer These Questions Before Delegating Work

This information can help set the right expectations and cut down on surprises.

Types of information Questions Answers for a sample task: a data analysis on recent customer surveys for a meeting this Friday
Use How will the result be used? The senior team is going to use the analysis to set our priorities for the next quarter.
Context Why is the task important? Since one of our goals this year is to be customer focused, customer feedback will have a major impact on our priorities.
Format What should the layout or structure be? It should comprise no more than two pages, with a summary of key findings up top, including both quantitative and qualitative elements.
Resources Who or what should be consulted? Miguel can show you what he created for a recent senior meeting when the team responded well to his format.
Authority Who has decision-making power? You can decide which data findings should be highlighted in the report — you don’t need to run them by me first. I trust you to identify the key points.
Timeline When does it need to be completed? What are project milestones? I need to have it by Thursday at 2 PM so that I can look it over and we can make any tweaks before I send it out in advance of Friday’s 9 AM meeting.
Success What does an effective outcome look like? We’ll know this is successful when it helps the senior team generate a rich discussion at the meeting on Friday.
